New World Recorders — a team effort

This week we have been hosting the four players of New World Recorders (Gwyn Roberts, Hélöise Degrugillier, Emily O’Brien and Rainer Beckmann) and it is a real team effort to put all the pieces together. Our Early Music Hawaii president, Scott Fikse, was in Honolulu last weekend to coordinate all the details of the service, the slideshow, and the music for former president Ian Capps beautiful memorial service last Sunday. He helped to coordinate and pass on some of the hospitality arrangements for New World Recorders to Keane Ishii, our new Aloha, Hospitality, and Accommodations coordinator for Honolulu. Garrett Webb is our artists’ coordinator for the Kona concerts.

Keane was the one who contacted me about hosting Héloïse Degrugillier and her partner, Luke Scott. (Luke is a church Music Director and organist who coordinates the music at four different Catholic parishes!) He also arranged housing for Gwyn Roberts and Emily O’Brien to stay with Early Music Hawaii board member, Jonathan Gillentine, while Rainer Beckmann would stay with Keane.

Earlier Jonathan Gillentine and I met to add and delete names to the email list. I designed the postcard and sent it off to the printer and board member Bill Potter and I affixed the address labels to the postcards. We then took them to the Business Mail Entry Unit (Bulk Mail) at the airport post office, but found out the account was tied to Ian Capps’ personal email address. We called Jeannette Goya Johnson, Ian’s wife, but she didn’t know the password, so it took another phone call from Bulk Mail to transfer the account back to Early Music Hawaii.

But then I received a call that there weren’t sufficient funds in the account, so it was another drive to the airport bulk mail office to drop off a check before the mail could be released.

Early in the week, I received the program and biographical information from Scott Fikse for creating the program booklet. Bill Potter and Scott Fikse proofed it and made corrections, with Bill generating a QR code for the audience survey. I emailed the program to Aiea Copy Center and picked up the finished programs this morning. Here’s a sneak preview.

I wrote several email blasts using Constant Contact to our email list and receive an email with each ticket purchase. I forward any donations to Jonathan Gillentine, our Membership Coordinator for acknowledgment. On the day of the concert, I’ll generate a Doorlist for the ticket takers.

Jeannette Johnson, who is also an Early Music Hawaii board member, set up an interview with Gene Schiller of Hawaii Public Radio to interview Rainer Beckmann and Gwyn Roberts on Friday.

Meanwhile Bill Potter contacted volunteer ushers and ticket takers to work at Friday’s concert.

Aubrey Aikens is our Social Media Coordinator and posts on Instagram and Facebook as does Scott Fikse.

Scott coordinated a short promo spot for Early Music Hawaii’s Facebook and Instagram pages, which may be viewed here.

Here’s a video from their YouTube channel:

We hope you enjoy the concerts!
